Job description

The Building Administrator is responsible for overseeing the maintenance, and administration of the buildings facility. This role ensures that the building is safe, secure, and efficiently managed, coordinating with vendors, maintenance teams, tenants, and staff as needed. The position may involve travel between multiple sites or buildings, depending on organizational needs.

General Responsibilities:

 Maintains accurate records and management of all technical equipment within the building

 Carries out tasks related to setup, repairs, and maintenance of the building and its technical equipment

 Monitors the scheduled periodic inspections of equipment under I.S.C.I.R. regulations

 Supervises and oversees security and cleaning staff at the site, ensuring the quality of their work

 Identifies service providers and maintains strong working relationships with them

 Ensures the proper functioning and maintenance of all IT and peripheral equipment (computers, printers, scanners, etc.)

 Ensures compliance with legal regulations regarding data confidentiality and information security

 Oversees construction projects and phases, ensuring that works are carried out according to plans and technical specifications

 Develops a project forecast schedule and monitors work progress

 Communicates clearly and effectively with various suppliers, clients, and key collaborators

 Supervises and prepares daily reports on the progress of works

 Detects and resolves issues that arise on construction sites and proposes effective solutions

 Manages budgets and deadlines, ensuring that works are completed on time and within the approved costs

 Performs other specific and related tasks as assigned by the direct manager

Reporting Responsibilities:

 Prepares consumption and cost summaries for utility providers, supporting new contract negotiations

 Compiles cost summaries for preventive maintenance contracts for negotiation purposes

 Prepares cost reports for equipment supply contracts to support new contract discussions

 Tracks and reports on real estate portfolio development with monthly reports – e.g., HVAC/climate control systems

Decision-Making Responsibilities:

 Acts quickly and effectively to resolve operational issues and overcome obstacles, in consultation with the direct manager

Qualifications:

 Proven experience in facilities or building management (3+ years preferred).

 Strong knowledge of building systems and maintenance procedures.

 Excellent communication and organizational skills.

 Ability to multitask and handle emergencies effectively.

 Relevant certifications are a plus.

Working Conditions:

 Office and on-site building environments.

 May require occasional evening or weekend work.

 Travel is required for site visits, inspections, or coordination across multiple locations.

 Ideally based in Bucharest and able to travel to Ploiești and Constanța.
